Manage file and folder permissions and access control

Huddle has powerful permissions and access controls, all the way down to a single sub-folder in your workspace.


Teams are set by Workspace Managers and work like permission groups within each workspace - you use them to group your Huddle users by their job role, department or company (e.g. 'marketing team', 'client team' etc.)

Teams are controlled from the Settings tab by clicking the Teams option - here you can setup new teams or edit & delete existing ones (N.B. you can only delete a team with no members and no invitations outstanding)



Once you have set up appropriate teams, it's time to start placing users in the appropriate team. If a the user already exists in your workspace, You can choose their team from a drop down menu in the Users section.

Each user can only be a member of one Team within each workspace - so please bear this in mind when creating the teams and inviting people into them.

There is no need to setup multiple Teams unless you need to set permissions - everyone can be invited into one single team if that is how you prefer to work.

Setting Folder Permissions

Once multiple Teams are set up you can click on the Folder Details button for each Files folder and control the permissions for documents from here:


NO ACCESS - To stop a team from having access to, or seeing a specific folder, simply check the 'None' box against the team name.

SEE ACCESS - To stop a team from editing documents within a folder, but to still allow them viewing access- simply uncheck the 'edit' box, leaving the 'see' box checked next to the team name.

EDIT ACCESS -  By default all teams are set to both 'edit' and 'see' every document folder. "Everyone" is the default value which new teams will adopt automatically.

Changes are made as soon as you have checked the boxes, however if you have sub-folders set up then you might also want to click:


All sub-folders will then automatically inherit have their permissions copied. Any sub-folders you subsequently create will also inherit the main folder's permission structure automatically.


IDEA: This is really beneficial when using Huddle as a client extranet, or to release information to partners or suppliers. Create a folder that only internal users can see for work in progress.
